The National Employment Authority (NEA) has issued a firm reminder to employers across the country to brace for the fast-approaching January 31, 2026 deadline for submitting their annual employee returns — a legal requirement many organisations often scramble to beat at the last minute.
In the Monday, December 1 notice, NEA underscored that all employers are required by law to maintain a comprehensive employee register and file a yearly return covering the entire calendar year.
“An employer shall keep a register containing the full name, age, sex, occupation, date of employment, nationality, educational level among others for each employee. A return of employees for each calendar year ending 31st December shall be sent to the Director not later than 31st January of the following year,”
the notice read.

NEA stressed that the 2025 returns must be submitted by January 31, 2026, urging employers to file early and avoid the annual last-minute congestion.
Employers are required to use the online platform www.neaims.go.ke, which NEA says has been enhanced to simplify filing.
“This notice is to remind all employers that returns for the calendar year ending 31st December 2025 are due by 31st January 2026. Employers are advised to file their returns online before the deadline,”
the agency added.
The Authority further announced that compliance certificates can now be downloaded immediately once an employer completes the declaration process.
“The online filing of employee returns has been put in place to enable employers conveniently submit their annual returns. Note that the Compliance Certificate is available for downloading upon ‘Declaring’ your employees,”

PSC Begins Interviews for 7,000 Youth Ahead of January Placement
In related employment news, the Public Service Commission (PSC) has kicked off interviews for 7,000 unemployed university graduates seeking slots under the 8th Cohort of the Public Service Internship Programme (PSIP).
PSC Secretary Paul Famba noted that the interviews began on Monday and will run until December 6, 2025, marking a major step toward absorbing young talent into government institutions.
A total of 13,117 candidates were shortlisted from 35,659 applicants, with interview teams deployed to 13 regional centres countrywide — spanning Western, Nyanza, Coast, Rift Valley, North Eastern, Eastern, Nairobi and Central regions.
Shortlisted candidates have been notified via SMS and instructed to present themselves in person with:

Academic certificates
Transcripts
Any additional documents specified in their portal invitations
Successful applicants will report to various ministries, state departments and agencies in January 2026 for the one-year paid internship.
